1. Who We Are
These Terms and Conditions apply to Phoenix Sports Academy Ltd, a company registered in England and Wales (company registration number 17356826) ("Phoenix Sports Academy", "we", "us", "our").
You can contact us at phoenixsportsacademyuk+
When you register a player with Phoenix Sports Academy, or use our website, you agree to be bound by these Terms. If you do not agree to them, please don't register or use the site.
2. Our Philosophy
Phoenix Sports Academy focuses on every child as an individual, giving them a safe, encouraging environment to be creative, take appropriate risks, and develop at their own pace across football, rugby, cricket, athletics and beyond. Every player and parent is part of the Phoenix family, on and off the pitch.
3. Using Our Website
Our website is provided for general information, and to let you register interest, book sessions, or get in touch with us. We aim to keep it accurate and available, but we don't guarantee uninterrupted access or that every detail will always be fully up to date, and we may change or remove content at any time without notice.
All content on our website — including text, images, logos and graphics — belongs to Phoenix Sports Academy or is used under licence, and is protected by copyright. You may view or print it for personal, non-commercial use, but you may not reproduce, distribute or modify it without our written permission.
Our website may link to third-party sites for convenience. We don't control, and aren't responsible for, the content or privacy practices of those sites.
To the fullest extent permitted by law, we accept no liability for loss or damage arising from your use of the website, including reliance on information submitted through forms or displayed on the site — though nothing in these Terms limits our liability for death or personal injury caused by our negligence, or for fraud.
4. Registering With Us
Forms relating to a participant under the age of 18 must be completed by a parent or legal guardian. By submitting a registration on behalf of a child, you confirm you have parental responsibility or legal authority to do so.
A place at Phoenix Sports Academy is only confirmed once we have received a completed registration form and, where applicable, any required payment. Submitting an enquiry or expression of interest through our website does not, on its own, guarantee a place.
5. Fees and Payments
Our fee structure depends on the funding route that applies to a player's place.
Specific prices, payment methods and schedules will be confirmed at registration and are set out separately, as our payment process is finalised.
Unless we say otherwise, fees are payable in advance of a term, block or camp, and are non-refundable in the event of a player's absence. We may need to cancel or reschedule a session for reasons outside our control (for example, poor weather, venue issues, or matters affecting the health and safety of coaches and players) — where this happens, we will let you know as soon as possible and, where appropriate, offer a make-up session rather than a refund.
If we use a third-party payment processor, their own terms and privacy policy will also apply to any payment you make; we do not store full card details ourselves.
6. Our Commitment to Every Player
We aim to deliver expert, player-centred coaching that lets every child learn and develop at their own pace, across the sport(s) they've registered for. Session length, frequency and format will be confirmed at the time of booking and may vary by venue, age group and sport.
7. Code of Conduct and Safeguarding
All players, parents and guardians attending Phoenix Sports Academy sessions must follow our Code of Conduct, which sets out expected behaviour for players, parents/spectators and coaches, and the action we may take if it isn't followed. All our coaching is carried out in line with our Safeguarding Policy. Both are available on our website and may be updated from time to time — we'll let you know if we make a significant change.
In addition:
- Younger players should be accompanied by a parent or guardian, who should remain on-site for the duration of the session unless we agree otherwise
- Parents/guardians should register their child in and out of sessions with coaching staff where asked to
- All players and accompanying adults must follow any health & safety guidance given by a coach or venue
8. Medical Conditions and Special Requirements
If your child has a medical condition, allergy or special requirement — including but not limited to asthma, epilepsy, diabetes, heart conditions, or allergies — please tell us at registration and again on arrival at a first session. It's your responsibility to keep this information up to date, including if a new coach takes a session, by contacting us directly.
By registering, you confirm that your child is medically and physically able to take part in the relevant activity, and you consent to our first-aid trained coaches or staff providing first aid they consider necessary in an emergency, including referral to a doctor or hospital where needed. Phoenix Sports Academy carries out normal safety procedures during sessions but does not accept liability for injuries that occur despite these precautions, except where the law does not allow us to exclude liability (see section 10).
9. Photography and Video
By accepting these Terms, you also agree to the use of photography and video taken during sessions, camps and events for marketing purposes, such as our website, social media and promotional materials, in line with the consent set out in our Privacy Notice. You can withdraw this consent at any time — see our Privacy Notice for how.
10. Limitation of Liability
We are responsible for loss or damage you suffer that is a foreseeable result of our breaking these Terms or failing to use reasonable care and skill — but we are not responsible for loss or damage that isn't foreseeable, or for any indirect or consequential loss connected with our coaching services or website.
If you use our services for a commercial or business purpose, we will have no liability to you for any loss of profit, loss of business, or business interruption.
Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation — the law does not allow us to exclude these.
11. Cancellations
You can cancel a place by contacting us with your name, your child's name and date of birth, the venue, and your reason for leaving.
If you wish to rejoin after cancelling, your child's place will be subject to availability and cannot be guaranteed.
On rare occasions, we may need to cancel a session or suspend a programme for reasons beyond our control. Where this happens, we will notify you in advance and you will not be charged for sessions that don't go ahead.
12. Your Data and Privacy
We take the privacy of our players, parents and guardians seriously. Full details of what personal data we collect, how we use and protect it, and your rights, are set out in our Privacy Notice, which forms part of these Terms.
13. Changes to These Terms
We may update these Terms from time to time, for example as the Academy grows or our programmes change. Where we make a significant change, we will let you know directly (for example, by email) rather than relying only on an updated version being posted on our website. Continuing to use our services after a change takes effect means you accept the updated Terms.
14. Governing Law
These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
